email translation

Multi- lingual email is common in business exchanges. Expanding and localizing your market and clientele ultimately means multi- lingual communication will be an everyday occurrence. Understanding and responding appropriately to emails is critical. In fact, it is just as important as responding appropriately during meetings and face to face dialogues. Hiring a competent linguist to do your email translation is vital — it is just as important as having an business interpreter present during your important face to face exchanges where the attendees speak different languages.

Email Translation

There are several ways that you can do email translation.

Google now allows language translation in Gmail. If you are using your Gmail email, you can easily do this by following the steps below.

  • Open the email.
  • Select the correct source and target languages in the translation bar. The translation bar will appear above the message. If the translation bar does not automatically appear, you can select the More down arrow menu (located beside the Reply button) and select Translate message. If you are not sure what the source language is, Google can also detect the language for you.
  • Click Translate message.

If you set up your email in Microsoft Outlook, you can also get the email translated there. You can do this by following the steps below.

  • Open the email and highlight the part of the body that you want to translate.
  • Right click and select Translate from the shortcut menu.
  • When creating an email or reply, you may also select the body. On the Message tab, in the proofing group, click on Spelling, then click on Translate. You may select the appropriate set up options in Translation Options.

Translation Software

There are also translation software available to specifically do email translation. Worldlingo and Babylon are some of the more popular ones in the market today.

One important thing that must be noted is that in all of the above, the work is done through machine translation. While this may be convenient, it is never 100% accurate. Dealing with potential and existing clients means you must always be at your best. Many times, email communication is the beginning of a business deal and is the consistent form of communication even before two parties meet. This means quite a lot is at risk when reading and replying to multi- lingual emails.

What software translation cannot provide is the flexibility of a human translator, as well as the understanding of the cultural background and other factors affecting the tone of the email.
